Objective
To guide users through the process of submitting an event request form, including key steps and communication expectations on the subsequent approval or denial process.
Key Steps
Form Link: WIP Event Request Form Submissions
- Input event title, select name from dropdown, and choose event type.
- Select event date and time, with options for additional dates if needed.
- Fill in venue details, external point of contact name, and email.
- Include supplier information, description, and additional support if required.
- Enter attendee goal and budget numbers.
- Provide optional business purpose and ROI descriptions based on event type.
- Select marketing collateral option (yes/no) for marketing team notification.
- Submit the form for email confirmation and CC decision makers.
- Review and approve/deny the request in the Notion event request link.
- Decision makers can review and vote on the event request in Notion:
- Click on the Notion link provided in the email.
- Approve, Deny, or set the event status to "In Review" for further consideration.
- Once all decision makers have voted, once all votes are in, decision maker must manually be updated to Approved or Denied to trigger the email confirmation.
- Receive approved/denied email notification with next steps.
- If approved, details of the approved event will be sent to marketing to begin preparing materials for this event.
- If denied, a confirmation of the denial decision will be sent.
Cautionary Notes
- Ensure all required fields are filled out accurately to avoid delays in processing.
- Double-check event type requirements for specific fields like business purpose and ROI.
- Only select "yes" for marketing collateral if marketing support is needed for the event.

- Use dashes or commas to separate supplier information for clarity.
- Review all details before submitting to prevent errors or missing information.
- Check email notifications for approval status and follow up accordingly.
